Having another set of eyes on the financial structure of my client's business  really gave me some good insight as to what my client's roles should be within their own companies from a financial sense.&lt;br /&gt;&lt;br /&gt;The word that stuck with me after the call was Steward. We always hear about companies offering services that will  mind business so you don't have to -- enabling you to focus on what you are good at. Well what a mind shift I had after the call. Yes , if you are good at marketing or writing you should have a team in place to do the bookkeeping and web design, so you can get to the core of building and maintaing your businessbut you still need to be responsible for the financial position of YOUR company. You need to take interest in what the financial blueprint of the company tells you. Just remember a great team always needs a great leader. Take full advantage of these cards to get your business up and running and work toward being capable of paying the balance off at the end of each billing cycle. For some businesses, however, carrying a balance is inevitable. Sometimes, paying the balance depends on customer invoicing and customers may not always be reliable about paying their invoices on time. Early but I get excited this time of year.&lt;br /&gt;Down to business --- For alot of business owners your year-end is based on a Calendar year so you will therefore be closing the books at the end of December - &lt;br /&gt;Some tasks you will want to do from a bookkeeping end.&lt;br /&gt;1. Clean out the Miscellaneous or Suspense account that you so freely used all year.There is no line called Miscellaneous on the tax return so you have to put these items somewhere. If you are unsure where either ask your accountant or make new categories. &lt;br /&gt;2. 1099 forms - These forms must be filled out and send to any subcontractors that you paid more than $600.00 during the year. You will need correct name, address and Social Security numbers for each payee so start gathering them now.&lt;br /&gt;3. Ideally, you’d like to be able to get through to the end of the year buying as little as possible on credit.  The average family ends the holiday season having spent between $1,000 to $1,500. Since most people don't plan on the expense of their giving, those holiday costs are typically racked up on credit cards, making your new year miserable with money concerns and busted budgets. &lt;br /&gt;&lt;br /&gt;If you begin saving a small amount monthly in January, you won’t be tempted to dip into your credit cards.  Contributing $100 a month to a Holiday Spending Account will help you save $1200 annually (not including accrued interest). Nope I don't mean Halloween or Christmas -  Tax time&lt;br /&gt;If you hire subcontractors you will need to fill out these pesky little forms called 1099s and then a summary page called 1096. So each subcontractor will get a form 1099 and then  copy of each and the summary has to be sent you know where. Nope not the North Pole with Santa's letter but to the TAx guys.&lt;br /&gt;&lt;br /&gt;Oh by the way - the IRS wants you to use these forms but they don't make it easy to get them. You can't download them - For some reason that's not legal. If you are just starting your home business, or have one already and need to maximize its potential, you must read Kristi T's book - "I Love My Life". I will confess that she is a new bookkeeping client so I am  a bit biased but she sent me a copy of this book and I truly can't put it down. With good records you can determine where your company is heading. You need to know whether your company revenues are going up or down. A new business' chance of survival is greatly increased with good record keeping.&lt;br /&gt;This will also make tax time so much less painful. You will be able to print 1099’s easily, you will have the information you need for the accountant and best of all you will be able to take all the expenses you are entitled to and lower the amount of tax you pay!&lt;br /&gt;Setting Up A System&lt;br /&gt;There are no steadfast rules regarding the method that must be used to record your figures - those kept on paper are just as valid as those stored on the computer. What is important is that your financial records are accurate and updated regularly.&lt;br /&gt;What to Include in Basic Financial Records&lt;br /&gt;1. Record Sales – This would include a listing of your clients, what items were purchases, any sales tax charged, etc.&lt;br /&gt;2. Record Payments received for Sales – This would include keeping a record of credit card sales, checks or cash and any refunds issued.&lt;br /&gt;3. Record Purchases- This is especially important in the areas of auto expense, meals and entertainment, and any large purchases.&lt;br /&gt;4. Record Payments for Purchases – This is especially important in handling fixed assets. From affiliate links not working, to clients being deleted, to email breakdowns. But still we who use them stick around loyally, waiting for the techies to make fixing these things a priority and stop telling us it is on there list.&lt;br /&gt;&lt;br /&gt;Well out of no where in walks the new kid on the block. There will always be someone to pick up that slack of the company that rests on its laurels so to speak. The new kid has taken tech support and checkmate for them it is awesome. They have taken much needed integrated marketing tools and supplied them at no additional cost.&lt;br /&gt;&lt;br /&gt;Why do I care - -- Because it directly affects those bookkeeping clients that have web presence of any type. Do I say leave 1shoppingcart ( Cartville) - no not yet. As all things new this shopping cart has some maturing to do. Some of my clients based on the way they use 1shoppingcart won't even be affected by these problems. But some of you are really getting fed up, week after week problem after problem.&lt;br /&gt;&lt;br /&gt;So to let the cat out of the bag --- It is Goldbar.net- - Go check them out. I have even seen some bookkeepers do it wrong as well.&lt;br /&gt;&lt;br /&gt;The part that is incorrect is that they treat the Credit Card bill just like any other bill from a Vendor. They just enter it into the bill section, itemize the different purchase and when the credit card payment is sent they apply the amount to the bill.&lt;br /&gt;&lt;br /&gt;A credit card should be treated just like any other Bank Statement. Quickbooks even has a type of account called "Credit Card" that you can setup. I just figured out on my own how to manipulate the template colors for this blog! Wow - I am not techie at all and I was able to do it. Using common sense, google and trial and error. I may not be an interior decorator so these colors may not be permanent but at least I figured out how. If you have any suggestions for other colors please let me know ...&lt;br /&gt;&lt;br /&gt;So you see if you can't do your own bookkeeping .... you probably really can learn how. You just need the determination to have a handle on your finances and not give up. There are so many easy to use tools on the market that make it so easy for you. Just take some time and give it a try . It is the one I use for all of my clients. To me this is a must have for your business. It is so easy to setup, and use. It may seem a bit cumbersome at first but it really is a great program with a ton of features. You can run so many helpful reports and track multiple accounts - just amazing.&lt;br /&gt;Thats not to say it doesn't have its quirks. Of course it does. The top one of my dislikes is how much money you have to spend on customer support. It really is very expensive. But there are a ton of people like myself, who go to forums to help each other out. Just Google "Quickbooks Forums" when you need help.
